Sample grant report: a small rural Oregon food pantry

This is what the one-time report looks like, shortened to 7 opportunities so it fits on a web page. A real report has 10–20 opportunities, a downloadable deadline calendar (.ics), and 30 days of free corrections and updates.

SAMPLE: the organization is fictional. "Example Valley Food Pantry" doesn't exist; we made it up to show the format. The funders, amounts, deadlines, eligibility rules and links are real. We checked each one on the funder's own website on October 18, 2026. Deadlines change, so don't use this sample to apply. Check the funder's page first.
Organization (fictional)Example Valley Food Pantry
LocationSmall town (under 25,000) in rural Douglas County, Oregon
Budget & staffAbout $150,000; 1 part-time coordinator, ~40 volunteers
Status501(c)(3); partner agency of its Oregon regional food bank; not faith-based

What they asked us to find money for: buying more fresh, local food; replacing a failing walk-in cooler; a van for a monthly mobile pantry in outlying communities; and help building a board fundraising plan.

1. One-page summary

Bottom line: Three good-fit deadlines fall in the next six weeks: Coquille Tribal Community Fund (Nov 16), Walmart Spark Good (Nov 30) and Roundhouse Foundation (Nov 30). Pacific Power's food-insecurity cycle follows on Dec 15. The cooler fits The Ford Family Foundation's always-open Good Neighbor grants once you have 25% of the cost committed. One trade-off to decide now: Roundhouse makes one grant per organization per year, so choose either its Local Food Purchase grant (up to $6,000, fresh food) or a capital letter of inquiry for the van (up to $25,000). You can't hold both.

2. Opportunities, ranked, with fit notes and next steps

Roundhouse Foundation Strong fit

1. Local Food Purchase Grants for Food Pantries

Why you fit: Food pantries that are partner agencies of an Oregon Regional Food Bank and serve communities under 40,000 people qualify. The money buys fresh food from regional producers or grocers, which is your first priority.

Watch out: One Roundhouse grant per organization per year (see #7). Funds are limited and the application can close before Nov 30. Faith-based institutions aren't eligible; you aren't one.

Next step: Apply in Roundhouse's online portal by Nov 6. Name 2–3 local farms or grocers and estimate what you'd buy from each per month.

DeadlineNov 30, 2026Reviewed monthly; decisions in 6–8 weeks
AmountUp to $6,000

Coquille Tribal Community Fund Good fit

2. 2026/2027 grant cycle

Why you fit: Douglas County is one of the fund's five counties (Coos, Curry, Douglas, Jackson, Lane). Health, including food assistance, is a focus area.

Watch out: General operating costs and salaries aren't funded. Frame the request as a defined project, such as winter fresh-produce boxes. The minimum request is $1,000.

Next step: Read the fund's eligibility page, then submit by Nov 9 to leave a week of buffer.

Walmart / Sam's Club Good fit

3. Spark Good Local Grants (FY27 Cycle 3)

Why you fit: 501(c)(3) public charities can apply to a store that serves their area. Walmart says hunger relief is a frequent area of support because it's a major grocer.

Watch out: You need a Spark Good account verified by Deed before you can apply, and verification takes time. Once a store funds you, you can't apply to that same store again in the same fiscal year.

Next step: Create and verify the Spark Good account this week, then apply to the nearest store, and separately to a Sam's Club or distribution center if one serves your area.

Pacific Power Foundation Check first

4. Safety/Wellness grant cycle

Why you might fit: Food insecurity is a named priority in the December cycle, and 501(c)(3) public charities in the service territory can apply.

Check first: Your town must be inside Pacific Power's service territory; check the map linked on the funder page. Operating deficits, capital campaigns, maintenance of existing facilities and computers aren't funded.

Next step: Confirm the service area, then create a portal account by Dec 1 (approval can take up to 2 business days). Ask for a typical $2,000–$5,000.

The Ford Family Foundation Strong fit

5. Good Neighbor Grants

Why you fit: The foundation names "emergency repairs to essential equipment at a food bank" as an example. It serves rural Oregon communities of 35,000 or fewer people that aren't next to a metro of 50,000 or more.

Watch out: 25% of the project budget must be committed before you apply, and you can request up to 50% of a capital cost. The foundation looks for community support and a plan to sustain the work.

Next step: Get two cooler quotes. Line up the first 25% (local businesses, service clubs, donors), then apply in December. Decisions take 6–10 weeks.

6. Technical Assistance Grants

Why you fit: This is generally for organizations with budgets under $1 million. It pays an outside consultant for things like fundraising strategy or board development.

Watch out: A 10% cash match is required, and you'll need the consultant's scope of work plus a simple budget.

Next step: Ask one or two consultants for a short scope of work for a board fundraising plan, then apply. This can run alongside #5.

7. Capital Grants: vehicle (letter of inquiry)

Why you fit: Roundhouse names mobile food distribution vehicles (mobile pantry vehicles, refrigerated trucks) as a priority. Vehicle grants go up to $25,000; the median is about $10,000.

Watch out: Roundhouse considers one capital grant per organization per year, and only if you have no other active Roundhouse grant. If you've had a Roundhouse grant in the last 12 months, call them first. Choose this or #1.

Next step: If the van matters more than $6,000 of fresh food, submit the short LOI by Nov 20 with a vehicle quote and your mobile-pantry route. Skip #1.

3. Evidence: who funds pantries like yours

From IRS Form 990-PF filings (public records): Roundhouse Foundation reported a $5,000 grant to Dayton Community Food Pantry (Dayton, OR) for "new facility construction" (tax year 2023), and a $500 grant to Boardman Food Pantry (Boardman, OR) for "2024 fire response" (tax year 2024). 2023 filing · 2024 filing (ProPublica Nonprofit Explorer).
A real report lists the foundations that funded your peers in their most recent filings, plus the funders already supporting you, each linked to the original filing.

4. 90-day action plan

  1. Week of Oct 19: Create the Walmart Spark Good account and start Deed verification. Decide: Roundhouse food purchase (#1) or Roundhouse van (#7).
  2. By Nov 6: Submit the Roundhouse application (#1 or #7 LOI). Gather your IRS letter, board list and a one-page budget for everything that follows.
  3. By Nov 9: Submit the Coquille Tribal Community Fund application (#2).
  4. By Nov 20: Submit Walmart Spark Good requests to the store(s) serving your area (#3). Ask a consultant for a scope of work for #6.
  5. By Dec 1: Confirm Pacific Power's service area and open a portal account. Collect cooler quotes and start raising the 25% match for #5.
  6. By Dec 15: Submit Pacific Power's Safety/Wellness application (#4). Submit Ford Family Technical Assistance (#6).
  7. January 2027: Submit the Ford Family Good Neighbor request for the cooler (#5). Watch for Roundhouse's 2027 programs, which reopen in early January.

5. Watch list and checked-but-excluded

Reopening soon

  • Roundhouse Foundation Open Call ($2,501–$30,000): the 2026 calls closed Mar 13 and Aug 14; 2027 dates aren't posted yet.

Checked and left out

  • M.J. Murdock Charitable Trust: minimum request $100,000 (project $200,000+), too large for this budget.
  • Oregon Watershed Enhancement Board: habitat restoration only; not a fit.
